What’s New This Year? Plus a Few Important Reminders
Don’t assume all locations from previous years are being used; we have changes!
- We will have basketball team divisioning at Carolina Courts on Friday. On Saturday and Sunday, however, teams will be assigned to either Porter Ridge High School or Mint Hill Middle School for competition and awards. There will be no activity at Carolina Courts on Saturday and Sunday. Teams will find out their location assignment when schedules are given out Friday night and, yes, it is our goal to get those basketball schedules out ahead of everything else so you can communicate to everyone where the team will be competing.
- Basketball individual skills competition will go back to Crestdale Middle School (after being at Carolina Courts last year).
- While bocce will take place at Chestnut Square Park again this year, we now have a new artificial turf surface in place. This means no mud (we know you will miss that), but it also means we have to rearrange the layout of everything. Be prepared for a new setup.
- As cycling returns to Fall Tournament, make note that the venue is just across the state line in Rock Hill, SC. We are excited to have some Special Olympics South Carolina athletes join in the competition as a result.
- All soccer competition has a new home at the recreation fields at UNC-Charlotte.
There are a few other updates/reminders, as well:
- We will work with the hotels’ usual breakfast service times each morning rather than insisting on the early 6:00 a.m. service since half of them never seem to be able to pull this off adequately. This means that no competition will start before 9:00 a.m. each morning to allow your delegations more time for breakfast at the hotels.
- Delegations will still receive hotel room keys bundled together along with the rooming list as you had submitted it. It will, however, be left with the HOD to determine who goes into each of those specific rooms rather than the hotel preassigning. There is a tendency for delegations to end up on 3-4 floors sometimes when the hotel is assigning so we are going to shift that responsibility off of the front desk. HOD’s be prepared to work with this; we do think it will make your lives easier in the long run!
- The sports with divisioning on Friday are basketball team, bocce and soccer. That’s it.
- All coach’s meetings will once again be held via webinar/call. Please view the comprehensive list of all coaches meetings. Each program must be represented on these calls.
- Everyone is invited to a fun-filled Opening Ceremony at The Sportsplex at Matthews. We will not be at Bojangles’ Coliseum this year. This is an outdoor venue which means the Ceremony is weather-dependent. Read the Opening Ceremony section at the bottom of this page carefully so you are aware of detailed plans for the Ceremony and the dinner options that night.
- A lot of work has gone into securing donated dinners for Saturday night for various delegations. We are finally to the point that it looks like we will have dinners provided by area churches for all delegations. At this time, please plan on taking advantage of this amazing generosity. Read in more detail in the meals section.
- Free health screenings continue to be an important part of Saturday night’s dance. Be sure to take advantage of these great free services!

A parking pass is provided to help identify all vehicles associated with the event. Print out as many copies as needed for your transportation.

Lost and Found
Please report any lost/found athletes/items to the closest information services table/volunteer check-in table. Also, if you lose a nametag, please go to information services or the results coordinator.
Photography/Videography
Photos will be made available in the photo gallery after the event.
In the event that athletes and/or coaches from your local program are featured by a TV station covering the event and you wish to order a copy of the news clip, you can do so by calling Video Taping Services at 704-332-2158. Most TV stations in the state will refer you to this company if you call their station directly requesting a copy of a news clip they aired. To order a clip from VTS, you will need to know the following information: Date the story aired, name of station airing the story, city where the station is located.
Note that there is a charge to obtain a copy of news clips. SONC does not secure copies of television news stories due to the associated cost.
Credentials
Athletes as well as Coaches and HoD’s are expected to wear their nametags or credentials at all times other than during competition. If you lose a nametag or credential, please go to the information services table for a replacement.
Security
Access control volunteers will be present where it is necessary to control the flow of pedestrian traffic. Please feel free to seek their assistance as needed.
Transportation/Parking
Refer to directional signs or volunteers for specific instructions on parking at the various venues.
If you have transportation difficulties during the event, call one of the key contacts listed in the head of delegation information.
First Aid
Medical personnel will be on-site at the venues. Please note:
- Most of these individuals are certified (and willing) to give insulin shots BUT they cannot do so without an up-to-date doctor’s note listing the exact dosage to be administered as this is a liability issue.
- Should an athlete need medical attention, the coach or chaperone will be the person to complete the Incident Report (blanks will be at medical area). They should complete the entire document, have it witnessed, sign it themselves and then place the completed document in the envelope on the table in the medical area.
- All medical personnel are present to act as first responders so they are dealing with medical issues that arise while at the event; not long-term chronic issues.
- While these individuals may be comfortable assisting with medications, they cannot do so unless medications are in original prescription bottles and the dosage information is clearly provided.
Meal Information
Friday lunch
All delegations should eat before they arrive at the venues. No lunches will be provided at any venues.
Friday night dinner
This meal is on your own. For your convenience, there will be food trucks with dinner items at the Opening Ceremony should you choose to eat something there. They will have the typical fare such as pizza, hot dogs, grilled chicken sandwiches, and chicken tenders. We have worked it out with the food trucks for local programs to pre-order dinner so you can arrive and pick up your entire delegation’s meals in one visit to the trucks. If you are interested in this option, please complete the dinner pre-order form. A separate email will go to those local programs to finalize arrangements.
Please note that the Opening Ceremony is weather-dependent since it is an outdoor venue so if the weather does not work in our favor to hold the Opening Ceremony, all delegations will be notified no later than Tuesday, October 29, that they need to make alternate arrangements for dinner.
Saturday and Sunday breakfast

Saturday and Sunday lunches
Lunches will be available at the venues on both Saturday and Sunday. Even if you have athletes who only had competition on Saturday (like basketball skills), we will have lunches available for all of them on Sunday; the venue will be specified. We will survey local programs to verify Sunday lunch plans to better ensure we are not preparing meals for those not around that day.
Saturday dinner
A lot of work has gone into securing donated dinners for Saturday night for various delegations. We are finally to the point that it looks like we will have dinners provided by area churches for all delegations. At this time, please plan on taking advantage of this amazing generosity.
Church assignments will be given the week of October 21. Each delegation will be put in touch with the church contact to receive details on location and menu. Members of these churches are working hard to provide a nice meal and unique experience for each delegation. We have gotten great feedback from delegations in the past who have participated in this endeavor.
Eating out
Visit charlottesgotalot.com for a comprehensive list of attractions and restaurants in the area. Any time you are planning a meal out, be sure to allow yourselves time to get from one place to the other and keep things as simple as possible like ordering for delivery ahead of time, etc.
Thinking about ordering pizza? Domino’s locations in the Charlotte area are offering 30 percent off their entire menu with the code “SPECIAL.”
Vegetarian/Gluten-free needs
We’ve been compiling a list of individuals who require vegetarian or gluten-free meals at past events, which can be found here. If your name is not on this list and you would like to request a vegetarian or gluten-free meal, submit your needs to Julianna Pratt no later than Friday, October 25. Make sure to include names and at which venue the lunch is needed when you make your request.
Housing
- Don’t forget that you will receive all credentials when you check into the hotel after 3:00 p.m. on Friday. You won’t need them at the sport venues on Friday afternoon. The HOD should plan on going to the hotel that afternoon to get room keys and arrival packets ahead of the entire delegation. It will keep things much simpler for everyone!
- Hotel assignments will be emailed to HOD’s.
- A rooming list will be emailed to you shortly after. Please review it and respond with any questions/adjustments.
- We are assuming that everyone is staying both Friday and Saturday nights unless you have informed us otherwise.
- All Delegates should be respectful of others by remaining in their rooms after 11:00 p.m. each evening. Music and loud talking should not be heard outside the room/suite from which it originates.
- All delegates should respect all facility property and regulations. Theft or damage of property will not be tolerated.
Delegation Check-In Process at the Hotels
When: Friday between 3:00 p.m. and 6:00 p.m.
Who: Only the head of delegation and/or the head coach should come to the check-in area to prevent congestion.
Please direct the rest of the delegation to wait in the vehicle or away from the check-in area.
How:
-
- Pick up arrival envelope containing welcome information and all credentials for the delegation.
- You will receive a call Friday afternoon to verify any scratches (last minute no-show’s) for your delegation. You can also report all scratches to the hotel host volunteer.
- Confirm that you have all credentials for each member of your delegation. If you are missing a credential, let your hotel host know and SONC will work on getting you a replacement.
- Turn in the unused athlete and coach credentials from scratches to the hotel host.
- Receive room keys and the rooming list from the hotel host. Ensure that you have the number of rooms designated on the rooming list.
- Give out room keys assigning rooms as you go; be sure to write those room numbers on the rooming list you were given so you can keep up with everyone in the delegation. You will be the only person who has these specific assignments.

Additional Activities – Concessions will be available at the venue on Saturday. Souvenirs will be available at the venue on Saturday.
Competition Information – Please make sure your uniforms follow the SONC Uniform and Logo Guidelines. Athletes are assigned a starting station and will rotate through skills stations for each round.
- Please refer to the overall schedule by venue for check-in and start time for the day.
- Athlete check-in will be in the cafetorium, and then athletes will be escorted to their assigned stations. Check the link below to see your athletes’ starting station. Please make sure all athletes are wearing their nametags which will be provided (not their credentials), dressed in sport-appropriate attire and proper footwear (e.g. non-marking soled shoes).
- Athletes will be led by volunteers through each station once in the morning for divisioning. After all athletes have completed the three stations, they will be free for lunch while the competition team assigns the final divisions.
- For the final round of competition, please report to the cafetorium at the time indicated on the overall schedule. Please write the athlete’s final division on the nametag. Athletes will once again be escorted to stations.
- Athletes will go through each station once in the afternoon round. Awards will be based on the score from the final round of competition (sum total of all three stations). Athletes will be escorted to the awards area once finished with competition and also be escorted through the awards process.
- Please remember to pick up athletes in the cafetorium after awards are given out.

Announcers are being recruited for all team sports, and we would love to provide them with some fun facts to share. Tell us a fun fact about any of your wonderful athletes!

- On Friday, the game format will be two eight-minute quarters, running clock, with a two-minute halftime. Teams will play a round-robin competition format with the teams in their screening division. Preliminary divisions and schedules will be posted on this page the evening of Friday, November 1. Coaches and Heads of Delegations will be notified via email and text when this information is available.
- Teams will be assigned to either Porter Ridge High School or Mint Hill Middle School for Saturday and Sunday. Teams will not know their venue for Saturday until Friday evening when the schedule is published.
- On Saturday, teams will play a full round robin format with the teams in their divisions. The game format will run in accordance with the SONC Basketball Rule Modifications found on the SONC basketball sport web page. Final divisions and bracket schedules will be posted on this page Saturday, November 2. Coaches and Heads of Delegations will be notified via email and text when this information is available.
- On Sunday, teams will play a single elimination bracket. Teams will be seeded for their bracket position based on the results from Saturday competition. Teams in brackets of four teams will play out a consolation game for the bronze medal and fourth place.

- Athlete and Unified partner attire for Saturday and Sunday play must adhere to the bocce uniform guidelines (for example, a collared shirt and non-denim pants). This does not apply to Friday divisioning.
- The score obtained on Friday will be used to determine preliminary divisions. Preliminary divisions and schedules will be posted on this page the evening of Friday, November 1. Coaches and Heads of Delegations will be notified via email and text when this information is available.
- On Saturday, teams will play a full round robin format with the teams in their divisions. Athletes and Unified partners should arrive 30 minutes before their scheduled match start time. Competition Information – All competition and awards for cycling will take place on Saturday, November 2. We will have local bike shop vendors and Strider Balance Bikes for new athletes to demo, and a DJ providing some great tunes to keep the athletes, coaches and spectators pumped for the day!

Golf Course Play Competition Information – Please make sure your uniforms follow the SONC Uniform and Logo Guidelines. Athletes and Unified partners will compete over the course of two days. Final score and placement will be determined by the sum total of the strokes from the preliminary and final rounds.

- Please refer to the link below for assigned tee times for Saturday, November 2. This report is generated by delegation.
- Athletes and Unified partners should arrive to the course at least 30 minutes prior to their assigned tee time. Please check-in at athlete check-in before going to your cart. Players teeing off of the first tee should be ready and at their cart 15 minutes before their scheduled tee time. Players teeing off the tenth tee should be ready and at their cart 20 minutes before their scheduled tee time. If reporting early to the first or tenth tee, please be courteous and do not block the way for the pairing ahead.
- Starters will be utilized for both the first and tenth tee. If an athlete or team misses their tee time, it will not be made up later and they will receive a zero for that round.
- Please note that the Golf Individual Skills Competition will also begin at 9:00 a.m. both days. There are designated putting greens and a section of the driving range to be used for this competition.

On Saturday and Sunday, free overflow parking will be available in Lot 6, and a shuttle will be running to transport drivers between the venue and Lot 6.

Soccer Team Competition Information – Teams should arrive dressed and ready to play. Please make sure your uniforms follow the SONC Uniform and Logo Guidelines. Announcers are being recruited for all team sports, and we would love to provide them with some fun facts to share. Tell us a fun fact about any of your wonderful athletes!

- On Friday, the game format will be two eight-minute halves, with a two minute halftime. Teams will play two games against the teams in their screening division. Preliminary divisions and schedules will be posted on this page the evening of Friday, November 1. Coaches and Heads of Delegations will be notified via email and text when this information is available.
- On Saturday, teams will play a full round robin format with the teams in their divisions. The game format will run in accordance with the SONC Soccer Rule Modifications found on the SONC soccer sport web page. Final divisions and bracket schedules will be posted on this page Saturday, November 2. Coaches and Heads of Delegations will be notified via email and text when this information is available.
- On Sunday, teams will play a single elimination bracket. Teams will be seeded for their bracket position based on the results from Saturday competition. Teams in brackets of four teams will play out a consolation game for the bronze medal and fourth place. In brackets of three, the first seed will have a bye, and then play the winner of the match between the second and third seed. The winner of that match and the first seed will play for the Gold and Silver medals. The athlete or team that lost the first match will be awarded the bronze medal.

In divisions of four athletes/doubles/team, the higher seed is listed at the top of each bracket. Soccer Individual Skills Competition Information – Please make sure your uniforms follow the SONC Uniform and Logo Guidelines. Athletes are assigned a starting station and will rotate through skills stations for each round.
- Please refer to the overall schedule by venue for check-in and start time for the day. Athletes will check-in at the Soccer Individual Skills Competition field, and they will be escorted to their assigned station. Check the link below to see your athletes’ starting station. Please make sure the athlete is wearing their nametag (not their credential), dressed in sport-appropriate attire and proper footwear.
- Athletes will be led by volunteers through each station once in the morning for divisioning. After all athletes have completed the three stations, they will be free for lunch while the competition team assigns the final divisions.

- Listed below are the match lists by division for Levels 2, 4, and 5 for both Saturday and Sunday.
- Athletes and Unified partners should arrive to staging no later than 20 minutes prior to their scheduled start time.
- Unified doubles will play a five-team single elimination with consolation bracket. All teams are guaranteed a minimum of two games, with a maximum of three games.
- Divisions 01-08 will compete using the traditional yellow tennis ball.
- Divisions 09-14 will compete using the green dot tennis ball.
- Athletes and Unified partners in four-team or four-person divisions will play a single elimination bracket. Seeding for the brackets is based on ITN number. Athletes or teams in brackets of four will play out a consolation game for the bronze medal and fourth place. A round robin format will be used for divisions of three, with overall record being the determinant for final placement.

Access – This event is free and open to the public. Doors will open at 6:00 p.m.
What’s Happening? A lot!
We look forward to seeing everyone at the Sportsplex at Matthews on Friday night for the Opening Ceremony.
The program starts at 7:00 p.m., but doors will open at 6:00pm for dinner to be served for those local programs who pre-ordered and the dancing to begin! We have secured food trucks for this event to not only sell concessions but also to provide dinner for any delegations who wish to pre-order. If that includes your group, be sure to complete the dinner pre-order form. We will not be doing an athlete march-in this year and instead want you to come join us for a fun dance party before the Opening Ceremony begins.
Seating will be available for those using wheelchairs and those needing to see the sign language interpreter.
DJ CeaseFire will be there with lots of dance music starting at 6:00 p.m. and throughout the program, some entertainment is being planned; you may even see a few mascots dancing around.
Please also note that concessions will be available from the food trucks to order that evening.
The Opening Ceremony program will be available soon.
All will conclude by 8:15 p.m.

Access – Everyone must have a credential to enter the dance. Families can receive credentials at the door.
What’s Happening? A lot!
We are thrilled to have members of Elevation Church once again planning a great party for everyone with Olympic Town opening at 6:00 p.m. and the DJ starting at 7:00 p.m. Olympic Town will include a lot of extra activities including bingo. Butler High School Unified Champion Schools students will also have activities set up for everyone to enjoy. Concessions will be available throughout the night and souvenirs will be sold in the media center.
A family resource and hospitality area is also being added to the dance this year.
One thing that is going to be repeatedly emphasized over the next two weeks is the need for everyone to wear athletic shoes to the dance. We are using a basketball gym with a recently refinished floor and we don’t want to be “that group” that comes in and damages the floor. To be on the safe side, we ask that everyone wear athletic shoes. They will still look great with the prom dress or tux you have picked out for the evening! Thanks for working with us on this.
The night will be filled with a lot more than dancing and great music; the athletes will have the chance to embark on a journey towards a healthy lifestyle. After checking in at the Healthy Athletes table each athlete will receive a ‘passport’ that will be their ticket to three great Healthy Athletes stations: Healthy Hearing, Special Smiles and Strong Minds.
